Personnel Documents

Organize and store important forms, background checks, permission slips, and other personnel paperwork.

Overview

This is a built-in document management system for your program. It includes a folder structure with upload, rename, and delete capabilities. All files are stored securely and count toward your subscription’s data allowance.

Important:

These files count against your subscription’s data allowance, in addition to all database storage.

Allowed file types: PDF, DOC, DOCX, XLS, XLSX, TXT, JPG, JPEG, PNG, TIF, TIFF, CSV, TSV.

Default Folder Structure

When you first open this page, FireSafe automatically creates a sensible folder structure for you:

You can create additional folders and nest them as deeply as needed.

Key Features

Create New Folders

Use the “Create New Folder” box on the right. Folders can be nested under any existing folder.

Upload Documents

Select a folder on the left, then use the Upload box on the right. Includes a live progress bar.

Rename & Delete

Every file and folder (except the top-level “Personnel Documents” folder) has Rename and Delete options.

Breadcrumb Navigation

Click any folder in the breadcrumb trail at the top to navigate quickly between levels.

How to Use It

  1. Click a folder on the left to open it.
  2. Use the “Create New Folder” box to add subfolders.
  3. Select files on your computer and click “Upload File” (with progress bar).
  4. Click the filename to download/view the document.
  5. Use Rename or Delete links next to each item when needed.

Show Tips

Check the “Show Tips” box at the top to display helpful guidance about the document system and data usage.

Best Practices

  • Keep your folder structure organized and consistent across years.
  • Use clear, descriptive folder names (e.g., “2025-2026 Background Checks”).
  • Regularly review and delete old files you no longer need to manage your data usage.
  • Remember that the top-level “Personnel Documents” folder cannot be deleted or renamed.
