Attendance

Create events, take attendance for rehearsals and performances, and generate reports — all with auto-saving status tracking.

Overview

The Attendance page shows all attendance events for the currently selected program as large visual cards. Create an event, open it to take attendance, and track who was Present, Tardy, or Absent. Changes auto-save as you work.

Key Features

Event Cards

Each event appears as a card showing the type, date, time, name, and present/total stats (or “Not taken yet”). Click a card to open the attendance roster.

Add New Event

Create rehearsals, performances, or other events. Set the date, time, location, and whether the roster includes all students or only selected ensembles.

Take Attendance

Open any event to mark students Present, Tardy, Absent – Excused, or Absent – Unexcused. Add optional notes. Everything auto-saves.

Attendance Report

Select one or more events with the checkboxes, then click Attendance Report to generate a summary of attendance across those events.

Working with Events

Creating an Event

Click Add New Event. Fill in:

Only approved students appear on the attendance roster. Students who still have a pending approval flag (from public QR registration) will not show up until you approve them on the Students page.

Taking Attendance

Click any event card to open the roster. For each student you can set:

Optional notes can be added per student. Changes are saved automatically as you work.

Editing or Deleting Events

Under each card you will see Edit and Delete links.

Searching & Selecting Events

Use the search box to filter events by name, type, or date. Check individual events (or use Select all events) to include them in an Attendance Report.

Attendance Report

Select one or more events, then click the gray Attendance Report button. A report opens showing attendance summaries across the selected events.

Check the Show Tips box near the top of the page for a quick reminder about how attendance works.

Best Practices for Band Directors

  • Create events ahead of time (especially for regular rehearsals) so you can open them quickly.
  • Use ensemble scope when only part of the program is meeting (e.g. Jazz Band only).
  • Approve new students on the Students page before expecting them to appear on the attendance roster.
  • Use the Attendance Report periodically to spot patterns of absences or tardies.
  • Delete test or duplicate events once you’re done with them to keep the list clean.
